Non-Profit, adoption agency seeking a Part-Time (25hr/week) Administrative Assistant to fill our NJ/CT supporting role working out of our Cherry Hill, NJ Office. Possible Hybrid (1 day/week) opportunity after 6 months. Duties include office administration responsibilities, including answering phones, E-filing, database entry, preparing agency packets, etc. to more detailed tasks such as submitting monthly and weekly reports (office statistics and financials), assisting social workers in managing client caseloads, managing agency documents and client records, speaking with prospective clients interested in adoption, etc. Act as the liaison to attorneys, the Surrogates Office and Family Court for Adoption Complaint Investigations, stepparent adoptions, and adoption finalizations.

The right candidate is an independent, quick-learner who can think on their feet and someone who is flexible and adapts well to frequent changes and requirements as well as the agency policies and procedures are updated often. Seeking a motivated self-starter able to juggle several projects at once. Customer service skills are a must, as this role is more often than not the first impression of the agency. Empathy and patience are imperative, as this line of social services deals with tough emotional situations. Candidate must be comfortable handling confidential information (including following HIPPA regulations). Adoptions From The Heart, performs a large portion of its tasks electronically, through office computers and internet programs.

Requirements:
  • Proficient in computer use, Office 365 (Teams, Outlook, Word, Excel & SharePoint) are required.
  • Min. 1 year experience in a similar office support role.
  • Experience with multi-line phone systems, data entry.
  • Proficient in Microsoft Office Suite, Sharepoint and Adobe Acrobat.
